Understanding validation workflows

A record rarely lives alone: it follows a process (Workflow) involving multiple actors for validation, signature or processing.

The workflow defines the steps through which a record passes (e.g.: Draft > Pending validation > Validated).

How to view the validation workflow of a record​

When you open a record, several elements help you understand where it stands in its process:

1. "Validation workflow" or "Workflow" tab​

  • Open the record you are viewing.
  • Look for a tab named Validation workflow, Workflow or Process (usually located among the tabs at the top of the form).
  • Click on it to display the complete workflow diagram.

2. Graphical diagram​

  • The diagram displays all process steps in diagram form.
  • The current step is usually highlighted (different color, border).
  • Steps already completed often appear in green or with a checkmark ✓.
  • Future steps are grayed out or pending.

3. Additional information​

  • The system automatically notifies (by email or on the homepage) users who need to act at each step.
  • You can see who validated each step and when by consulting the History tab.
