Document import via Web allows users to upload files directly from the Avanteam interface, without going through monitored network folders.

Principle​

Web import offers a user-friendly interface for:

  • Uploading one or multiple files
  • Automatically associating with a form
  • Pre-filling metadata
  • Triggering a workflow

Use Cases​

One-time import:

  • User uploads a certificate received by email
  • Automatic creation of a "Certificate" record
  • Metadata extracted from filename

Bulk import:

  • Loading multiple documents simultaneously
  • Batch processing
  • Time savings vs manual creation

Mobile import:

  • User on the go
  • Upload from smartphone/tablet
  • Photo of physical document

Configuration​

Administration Tools

Enable Web Import​

Prerequisites:

  • Import module activated in the license
  • Appropriate user rights

Configuration:

  1. Define accepted document types
  2. Configure naming rules
  3. Define post-import workflow
  4. Configure limitations (size, number)

Processing Rules​

Metadata extraction:

  • From filename
  • From file properties
  • OCR if scanned image

Validation:

  • Format verification
  • Size verification
  • Validation of mandatory metadata

Usage​

User Interface​

Procedure:

  1. Access "Import documents"
  2. Click "Browse" or drag and drop
  3. Select file(s)
  4. Fill in metadata (auto-filled if configured)
  5. Validate import

Feedback:

  • Upload progress
  • Success confirmation
  • Detailed errors if failure

Limits​

Size:

  • Single file: Configurable (e.g.: 50 MB max)
  • Total session: Configurable (e.g.: 200 MB max)

File types:

  • PDF, Office, Images (according to configuration)
  • Whitelist of authorized formats

Number:

  • Number of files per upload (e.g.: 20 max)
  • User quota (according to license)
