Detailed User Profile

To create or modify a user, the interface is divided into several key areas (based on the UserPanel administration panel):

User Profile

1. Identity and Signature

Personal and visual information:

  • Short Name (Logon Name): Unique login identifier (e.g., jdupont).
  • Full Name: Name displayed in the application. If empty, it is often automatically generated from the Short Name.
  • Email: Essential for receiving workflow notifications.
  • Title (Job Title): Position displayed in the organization chart.
  • Photo: User avatar.
  • Signature: Handwritten signature image, used to electronically sign documents in processes.

2. Login and Account Security

This is where authentication is managed:

  • Password Source:
    • Network (Active Directory): Authentication is delegated (SSO). Password fields are grayed out.
    • Application: Password managed locally by Process Studio.
  • History: The list of old hashed passwords is kept to prevent their reuse (if the security policy requires it).
  • Change Date: Allows forcing periodic renewal.
  • Lock:
    • An account can be automatically locked after X failed attempts.
    • Click Unlock Account to manually reactivate it. A red/green label indicates the current status.

3. Organizational Assignments

Defines the user's place in the structure:

  • Member of: Primary membership departments. A user can belong to multiple departments.
  • Manager of: Departments for which the user is the hierarchical manager (receives N+1 validations).
  • Roles: Cross-functional roles explicitly assigned (e.g., "Auditor", "System Administrator").
  • Company Administrator: Allows delegating administration of certain subsidiaries/companies to this user, without giving them rights over the entire group.

4. Security (Studio Modules)

The Security tab (based on SecurityPanel) controls access to design tools (Process Studio Client).

[!WARNING] These rights concern solution administration, not its standard use.

It is possible to give granular access:

  • Is Administrator: Gives access to ALL modules (Super-Admin).
  • Specific Modules (if "Is Administrator" is unchecked):
    • Form Designer: Access to the forms workshop.
    • Workflow Designer: Access to the process workshop.
    • Organization Manager: Can modify the organization chart.
    • Sync Tools: Access to LDAP/CSV imports.
    • Security Management: Can modify other users' rights.

5. Profiles (Portal Navigation)

Profiles determine the user's web interface (Left menus, Views, Dashboards).

  • A user can have multiple profiles (e.g., "Standard User" + "Manager").
  • The union of all profile navigators will be displayed.
