Office Module (Scan, OCR, PDF Generation)

In your daily activities, you handle files of different formats (Word, Excel, Paper). The integrated office module allows you to process these documents directly in the browser, without needing complex external software.

PDF Generation

Allows you to transform a web form or Word document into an official and non-editable PDF file.

  • Action: Click on the Generate PDF button (often represented by a red PDF icon) or Print.
  • Usage: To freeze a version of a document before sending it to a third party.

Scan and Splitting (ScanSplit)

If you need to integrate paper documents (letters, certificates), the "Batch Scanning" tool is your ally.

Operation

  1. Place your stack of documents in the scanner.
  2. Click on Scan or import an existing file via File and Splitting.
  3. The screen displays the pages one after the other.
  4. Splitting: Simply click between two pages to insert a separation (a cut line appears). Each batch of pages will become a distinct document in the application.

Profiles

Use the "Use profile" list to apply preset settings (e.g.: "B&W Invoices").

OCR (Character Recognition)

OCR (Optical Character Recognition) is an invisible technology that works for you. When you scan a document, the application "reads" the text contained in the image.

Advantage

You can find a scanned document by typing any word from its content in the search bar (Full-Text Search).

Business Case Example (Quality)

You receive a batch of 50 supplier material certificates in paper format.

  1. Scan everything in one go.
  2. Use the Splitting screen to visually separate each certificate.
  3. OCR analyzes the content. Later, if you search for "Alloy X25", the search engine will find the right scanned certificate in seconds.
